Reconciling the Wildberries sales report and finding money the platform owes you
How to reconcile the weekly Wildberries sales report line by line: sales and returns, logistics, storage, penalties and withholdings, compensations. The errors that come up most often, how to find them through the API and what to do with what you find.
Short answer: the Wildberries sales report is reconciled line by line, because the weekly total almost never looks suspicious. The errors hide in logistics and penalties. One delivery to a customer charged more than once, the same penalty landing in the report twice, a logistics rate that rose after a bad measurement and never came back down. A separate area is goods the warehouse accepted but did not put on sale. With thousands of lines a week none of that is findable by hand, so the reconciliation runs off an API export.
What the report consists of
Every week the platform produces a sales report with one line per event: a sale, a return, delivery to the customer, return logistics, storage, a penalty, a withholding, a compensation. Most lines carry an order identifier, a barcode and a shipment number. Those are what the lines are matched on.
The total of the report agrees with the payout, which makes it look as if there is nothing to check. But it agrees with what the platform itself calculated. The question is whether each line was calculated correctly.
Where the errors usually are
Double logistics. Delivery to the customer charged more than once on the same order. Found by grouping logistics lines by order identifier.
Double penalty. The same penalty on the same order appears twice. There is nothing to argue about here, and these amounts come back fastest.
Logistics on a bad measurement. The warehouse re-measured an item, the dimensions grew and the delivery rate went up with them. If measurements of one item disagree with each other while rates on everything else held steady, that is grounds to challenge the measurement.
Accepted but not listed. The warehouse booked in a shipment and put fewer units on sale. The difference sits with the platform and is claimed by shipment number.
Compensation below the usual. The platform declared an item lost and paid less for it than you normally receive for selling the same unit.
How to reconcile
Through the seller API you export the sales reports, shipments, stock and withholdings for the period. A year usually takes half an hour, because some of the reports are issued no more than once a minute. Then the lines are grouped by order, barcode and shipment, and you look for repeats and mismatches.
Every finding needs an amount, an order or shipment number, and the grounds on which it can be challenged. Without those, a support ticket comes back with a boilerplate answer.
A read-only token is enough for the export. It is created in the seller account’s API section, nothing can be changed through it, and it can be deleted as soon as the export is done.
What to do with the findings
Each finding goes into a seller support ticket with the order or shipment number. Hard grounds, a penalty duplicated on the same order for instance, are refunded most often. Disputable ones, a substituted item say, are better examined against the platform’s own photo and video first, to decide whether the argument is worth having.
Not everything found is recoverable. In the summer of 2026 the platform added a clause to its terms releasing it from liability for goods destroyed in attacks on warehouses, and claiming those amounts is pointless.
Common questions
How often should this be done? Weekly, along with the report, if the reconciliation is automated. If it is manual, at least once a quarter across the whole period: tickets have deadlines, and old findings are harder to recover.
Can the report be reconciled in a spreadsheet? For a small account, yes. Once there are thousands of lines a week, a spreadsheet will hold the export but finding repeats by order and by measurement in it is slow, and some of the findings get missed.
Is this the same as profit analytics? No. Reconciliation looks for money the platform calculated wrongly. Analytics works out what you earn on an item when the charges are correct. That is covered in why the marketplace dashboard is not enough.
The rule
Check the sales report line by line, grouping lines by order, barcode and shipment. The weekly total always matches the payout, so the error is never visible in it.
